Privacy Policy

PropCollabs helps property agencies keep their listings in one place and share them with their team and their clients. This page explains what personal data we keep, why, who can see it, how we protect it and how you can have it corrected or deleted. It is written to follow India's Digital Personal Data Protection Act, 2023.
What we keep
- Agency owners and employees: name, mobile number, job role, and a scrambled (hashed) form of the PIN. We never store PINs in readable form.
- Property listings: the details an agency enters, such as society name, locality, price, area and description.
- Property owners (sellers and landlords): the name and mobile number an agency saves with a listing. These are stored encrypted.
- Activity records: logins, failed logins and changes to listings and teams, with the time, the type of device and the internet address used.
We count visits to the public pages (how many people opened them each day) to see how the site is used. No cookies are used for this, and we keep only a scrambled code for one or two days so the same visitor is not counted twice; it cannot be turned back into your internet address.
Visitors who only browse the public property pages are not asked for any personal data. If you tap “Interested”, WhatsApp opens with a message you choose whether to send.
Why we keep it
- To let agencies manage and share their listings, and to let their clients see available properties.
- To let people log in securely, and to keep each agency's data separate from every other agency.
- To keep a record of who changed what, so mistakes and misuse can be found and undone.
We do not sell personal data, and we do not use it for advertising.
Who can see it
- Public pages show available listings and the contact number of the agency staff member who added them. Property owners' names and numbers are never shown publicly.
- Inside an agency, the owner decides which employees see each listing and whether they see the property owner's contact.
- The PropCollabs administrator can see all agencies' data to provide support and keep the service secure.
How long we keep it
- Listings and accounts are kept until the agency deletes them or closes its account.
- Deleted listings stay in a recycle bin for 30 days so they can be restored, then they are removed for good.
- Activity records are kept for one year.
- You stay logged in on your own device until you log out. Changing your PIN, or “log out all devices”, ends every other login.
How we protect it
- The whole site runs over an encrypted connection (HTTPS).
- Property owners' names and numbers are encrypted in the database, so a copy of the database alone does not reveal them.
- PINs are hashed, repeated wrong PINs lock the login, and the administrator login needs an extra password.
- Every login and change is recorded, and an agency owner can log out every device at once.
Your rights
You can ask us to show you the personal data we hold about you, correct it, or delete it. You can also raise a complaint. If you are an employee or a property owner whose details an agency saved, you can also ask that agency directly.
